cancellation policy
The Hartley Clinic is committed to providing the highest quality of treatment and care to our clients, delivered in a timely and effective manner. In order to meet these expectations, we have introduced an appointment deposit system and a fair, reasonable cancellation policy.
Booking Deposit System:
At time of booking an appointment with any of our clinicians or therapists, you will be required to pay a £30 deposit that is fully redeemable against your treatment on the day. This deposit is only returnable in the event of cancellation outside the required 24 hour notice period.
Cancellation Policy:
In the event that you wish to cancel or amend your appointment, we kindly ask for a minimum 24 hours notice so that we re-allocate the appointment time and maintain our practice efficiency. Provided that cancellation is requested outside the 24 hour notice period, we guarantee that your deposit will be refunded to you or offset against any future treatment you desire. If you wish to re-schedule or cancel your appointment less than 24 hours prior to your appointment time, then your deposit is non-refundable and a new deposit will be required to book your next appointment.
Naturally, we do understand that cancellations may be necessary due to incidents or illness and we are willing to consider mitigating circumstances at the time. If you wish to appeal any decision we make as part of our cancellation policy, please write to the clinic owner and director Dr Ailing Jeavons.
Appointment Cancellation Procedure:
If you need to cancel an appointment, we ask that, in the first instance, you call the practice on 01256 856289 and talk to reception. If, for some reason, you can’t get hold of anyone, please send us an email as soon as possible to reception@hartleyclinic.co.uk.
